Who the portal is for

The portal is open only to trade partners of Automir Germany. We set up each account ourselves; there is no self-registration. We therefore process the data of the contacts our partners name to us.

Your account

For each account we store your name, email address and company, what the account may do (sign in, see price lists), and which of our emails you receive. Legal basis: Art. 6 (1) (b) GDPR, as this is needed to provide the portal to you and your company. We keep the account while you or your company work with us and delete it when it is no longer needed.

Signing in and cookies

You sign in with a password or with a link we send to your email address; a link works for one hour. After signing in, a session cookie keeps you signed in on that browser for 60 days. A second cookie protects the forms against misuse from other sites, and a third remembers the language of your account, so that the sign-in page is in it next time. All three are technically necessary. The portal uses no analytics, tracking or marketing cookies and loads nothing from third parties.

Usage records

So that we can tell whether our partners can find and use the portal, and to detect misuse, we record sign-ins, failed sign-ins, which part of the portal was opened (stock list, price lists and which brand, spot offers), what was searched for there, Excel downloads, requests being prepared, enquiries, and one's own enquiries being looked at: the time, the account and the company, and the IP address. These records are kept on our own servers, are seen only by Automir staff, and are deleted after 365 days. Legal basis: Art. 6 (1) (f) GDPR; our legitimate interest is running and securing the portal for our partners.

Enquiries and requests

When you send an enquiry or a request, we store what you asked for, the quantities, prices and any message, and email a copy to you and to our team. Legal basis: Art. 6 (1) (b) GDPR. Enquiries are business correspondence and are kept as long as commercial and tax law requires.

Emails from the portal

The portal sends sign-in links and copies of your enquiries when you ask for them. It also sends our spot offers, stock lists and general updates. You can ask us at any time to stop any of them, or all of them: reply to one, or write to info@automir-germany.com. Sign-in links and copies of your own enquiries still reach you, since they only go out when you ask for them.

Our CRM

We keep our business contacts in a customer relationship management system that we run on our own servers. For each contact who has a portal account, the portal records there whether the account exists, what it may do, and when it was last used; a contact not yet in it is added, with name, email address and company. Legal basis: Art. 6 (1) (f) GDPR; our legitimate interest is looking after our business relationships.

Hosting, email and server logs

The portal runs on servers we rent from Hetzner Online GmbH, and its emails are sent through our email provider. Both process data only on our behalf, under data processing agreements (Art. 28 GDPR). As on any web server, requests are logged with the IP address, time, requested address and browser, for security and troubleshooting; the logs are deleted as they are rotated out.

Your rights

You have the right to access your data (Art. 15 GDPR), to have it corrected (Art. 16), erased (Art. 17) or its processing restricted (Art. 18), to receive it in a portable format (Art. 20), and to object to processing based on legitimate interests (Art. 21). Write to data@automir-germany.com. You may also lodge a complaint with a supervisory authority (Art. 77 GDPR); ours is the Landesbeauftragte für den Datenschutz und die Informationsfreiheit Baden-Württemberg.
